Introduction Sometimes the Item Register Report will shows the negative Current Value while the quantity is zero or the current value is different or changed. This is because of the Average Cost for the sale of the item has been changed. Please be informed that once the sales have been made with the original Average Cost, you can't make any amendment into the sales invoice. Once you have opened the sales invoice and make some changes, the Average Cost of that sales will be changed. |
For the example Sales invoice#0000002 below, the average cost for the Item 008 is $100 when the sale is made for 10 units. So the Cost of Sales will be $1000.
After sales recorded there is another purchase of this item with different Cost.
So the Average cost of the item now will be $150
And the item register is shows below
When the invoice Sales invoice #0000002 is opened back and some amendment has been made, the Average Cost will change once it click on 'OK'. For example, if the 'Invoice delivery Status' change to 'To be E-mailed', or the date of the invoice or the journal memo is changed, the Cost of Sales for this Sales will be changed to $1250 as the Average Cost has been changed to $150 ($1000+$1500/20).
In the Item Register Report, the sequence for the transaction on the same day will be the Sales Journal, Purchases Journal and the last will be Inventory Journal.
As the report below, you will see the effect of the changes in the invoice. As the Cost of Sales is larger than the Purchase Cost of this item, you will have negative value even you have zero quantity on hand.
Please be informed that if you need to view back the sales invoice, please click on 'Cancel' to exit the page as it won't affect the original Sales Invoice information. If you have click on anything in the invoice and click on 'OK', the original Average Cost will changed to updated Average Cost.
For conclusion, the Cost of Sales for the sales will be changed totally. You can refer to the Support Note of Inventory Value Less Than Zero. The note at the end of Page 1, Point Three, which explained that value, will change as you editing, reversing or deleting a recorded item purchase or sales.
